Opportunity Center


Meets: Second and Fourth Mondays from 9:00 am to 10:30 am at First United Methodist Church of Somerville
48 West High Street, Somerville


Purpose:

Support the membership community by provided job leads to professionals in transition and job candidates to employers seeking to fill their staffing needs.

Activities:

  • Call Center Management - cold/warm calling to companies to ID job opportunities. Develop and distribute leads to PSGCNJ members
  • Company Data Base Management - maintain and perform maintenance on PSGCNJ database. Track call results. Generate call sheets
  • Communications - Internal: Job leads and resume requests. External: Distribution of Candidate Bulletins/Bio's
  • Other - New OCC member training, company canvassing and supporting special initiatives such as Job Fairs

Skill Sets Provided:

  • Telemarketing skills, great for phone interviews
  • Database management skills, data tracking and usage skills, editing and review

Descriptions of Roles:


* Call Center
Discusses overall goals and objectives and ways to achieve these in conjunction with Opportunity Center team. This group is responsible for our voice presence to the outside world. Training to be done as needed, and directed by the Director and Managing Director.
The following roles comprise a shift. Shift Manager, Call Leads (x 2), Email Lead, and Data Lead. When more people are available, the Shift Manager will assign roles based on training. Email and Data require training.
      Shift Manager is responsible for tracking attendance as assigned. Accounting for out sick/other issues that may arise. Take incoming calls when needed to answer return calls from previous shift. Create team atmosphere to provide for networking within team. Track overall performance of team including number of calls made; number of emails answered; companies updated per shift; companies archived per shift; additional research needed.
      Call Lead take call sheets from new call sheet folder to place call. Call script to be followed based on Marketing and Opportunity Center best practices. Confirm company data. Request job leads. Act as marketing arm. Review Follow up folder for open call sheets. Provide legible comments on sheets for Data to enter into database. Place completed call sheets in appropriate folders. Updates own information as to task completed.
      Data Lead updates db with completed call sheets. Follows standard protocol established by Data Management group. Updates own information as to task completed. (see Data Management)
      Email Lead takes "Send Bulletin" to companies requesting update or new copy of bulletin. Sends out thank you’s to companies contacted. All correspondence to follow standard marketing template developed by Marketing. Updates own information as to task completed. (See Data Management)


** Mail Center
Discusses overall goals and objectives and ways to achieve these in conjunction with Opportunity Center team. In coordination with all chairs, schedules mailing of up to 1,000 marketing pieces per month. Training to be done as needed, and directed by the Director and Managing Director.
Discusses material needs such as envelopes (9x12) (DOL), sender/addressee labels by batch (OppCtr), final proof of customized cover letter (Marketing), final proof of Candidate Bulletin (Membership/OppCtr), flyers and business cards (Marketing.)
Send out notice to membership to request assistance. Create team to duplicate Candidate Bulletin with stapling (Copier.) Have team create packets (Candidate Bulletin, Flyer, business card.) Organize stuffing session to merge address labels to envelopes, packets to customized letter, and stuff into correct envelope. Build packets with appropriate materials.


*** Data Management
Provide overall view of Access and data management concepts. Train Data staff to update Membership and Companies db with appropriate information following data principles. Train staff in basic Access tables, queries, forms and reports. Train Email staff for coordination between Access and Outlook.
